Nimble Connect & Nimble ATS: Submitting Hiring Requests

This article will guide you on moving candidates from Nimble Connect straight to your Nimble ATS.

Permissions: Only school admin user types are able to submit a hiring request from Nimble Connect.


Overview

If you are in a school district that has both Nimble Connect and the Nimble Applicant Tracking System (ATS), you are able to submit hiring requests for candidates you find in Nimble Connect for roles open in the Nimble ATS. Submitting a hiring request tells your central HR team that you have found a candidate you would like to hire for a role at your school and invites that candidate to complete a formal application for review.

High-level summary

You are able to start a hiring request within Nimble Connect for candidates with whom you have both matched and connected.

  • You can start a hiring request from either your list of past candidates or from within the candidate’s profile.

  • You will be brought into the Nimble ATS to complete your hiring request.

  • You’ll need to provide information on 1) what role you’d like to hire the candidate for; 2) how you have been communicating or interviewing the candidate; and 3) your overall impressions of the candidate and why you’d like to hire them.

  • Once your hiring request is submitted, your central HR team will be notified and the candidate will be invited to formally submit an application.

  • You will be able to view the candidate’s application in the Nimble ATS once they have submitted the application and it’s been reviewed by your central HR team to confirm its eligibility.

  • You may need to submit certain pieces of information before your central HR team can formally make an offer to the candidate; confirm what is required with your Central HR team.

Important to note: you may be prevented from submitting a hiring request if you cannot find the correct role, or if the candidate has already submitted an application for the role.

  • If you cannot find the role you’d like to hire this candidate for within the hiring request, you will need to submit a job request and have it approved by central HR before you can continue the hiring request.

    • If your district has set up general postings, you may use your general posting to submit your hiring request before your job request has been approved. Contact your administrator for specific instructions.

  • If the candidate has already submitted an application, you can search for it on the candidate list or ask your central HR team for more information.

Starting a hiring request from Nimble Connect

Once you have matched with a candidate and connected with them, you will be able to start a hiring request for them at your school within Nimble Connect. To do so, first open up your list of candidates you have taken action on by clicking on Revisit Past Candidates on your homepage in Nimble Connect.

This will open up your list of past candidates. For candidates you have matched and connected with, you can start a hiring request by clicking on Request to hire on the right hand side of that candidate row.

Please note: you can not start a hiring request for any candidates that you have rejected.

This will open up a confirmation screen where you can confirm that you are indeed ready to hire this candidate for a role at your school.

After you confirm, you will be brought into the Nimble ATS to complete your hiring request. (Please note: you may be asked to log into the Nimble ATS if you are not currently logged in.)

You may also start a hiring request from the candidate profile in Nimble Connect. For candidates you have matched and connected with, the profile will now include a section called “Ready to hire <your candidate>?”. Click on Start hiring request to start a request to hire from the candidate profile.

Completing a hiring request in the Nimble ATS

You will be able to complete your hiring request within the Nimble ATS.

First, you will be asked to confirm the role you’d like to hire this candidate for at your school.

If you do not find the role you are looking for, you will need to submit a job request to your central HR team, and get it approved. You may do so by clicking on the link to submit a job request.

If your district has set up general postings, you may now return to Nimble Connect and restart your hiring request for the candidate. Use your school’s general posting to submit the hiring request, and your central HR team will assist with attaching the candidate’s application to the correct job posting. Contact your administrator for more specific instructions.

If your district does not have general postings, you will not be able to complete your hiring request until your job request has been approved.

Please note that some candidates may have submitted an application to the role for which you’d like to hire them; in that case, Nimble will flag that this candidate already has an application for this role. You can click on View candidate to go to the candidate list and view the candidate’s application for the role.

If you cannot find the application, this may be because your central HR team is still processing the application. We recommend contacting your central HR with the name and email address for the candidate, and letting them know you’d like to hire them.

Once you have selected the role and confirmed there is no existing application, you will be asked to provide some more information about your interactions with the candidate thus far. This includes information on how you have communicated with the candidate (Email, Phone, Virtual interview, Onsite interview, or a combination of these) as well as notes concerning your overall impressions with the candidate.

Once you have included your communication methods and notes on the candidate, you’ll be able to submit your hiring request. You’ll receive a confirmation screen that summarizes the information you’ve included in the hiring request and next steps.

After submitting your hiring request

Once you submit a hiring request, two actions will happen.

  1. We will notify your central HR team (specifically Super Admins on your district’s Nimble account) that you have requested to hire a candidate for a role at your school.

  2. We will invite the candidate to submit a formal application to the role, for review by your central HR team.

Once the candidate has submitted their application and your central HR team has reviewed the application and confirmed its eligibility, you will be able to view the candidate’s application like any other application in our system.

Please note that you may still need to provide required information your central HR team needs in order to formally hire the candidate. This may include a completed reference check, a completed scorecard, specific types of notes, or something else; we recommend confirming with your central HR team what information is still required for these candidates.

Viewing your Connect candidates in the ATS

To find your candidates in the ATS, go to the candidate list and click on the filter Source.

Click Clear All, and then check the box next to Nimble Connect. This will filter the candidate list to show only the Nimble Connect candidates.

Tips & tricks

We recommend the following tips & tricks to make your hiring request as seamless as possible:

  • Make sure that the role you want to hire for is available or has been approved in Nimble ATS. You will not be able to request to hire a candidate if the role doesn’t exist in the ATS. We recommend submitting a job request in advance if possible!

  • Confirm in Nimble if the candidate already has an application for the role before you start your job request. You can do so by searching the candidate list with the candidate’s name or email address. If they do have an application already, you can follow your normal process to get the candidate hired.

  • Check in with your central HR team about required documentation. Even if you are using this hiring request process, you may need to include documents like a completed scorecard so your central HR can formally process and extend an offer to the candidate. We recommend checking in with your central HR team in advance about required documents so you can prepare them.
